Guatemalan report of a query of the Prosecutor General's database showing that there are 2 files concerning the person in question.****
Under "status of the case" I have "Recepción básica" for one file and "archivo fisico" for the other file.

Researching on line, I find other possibilities for "status of the case" are
trámite, archivado, remisión, criterio de oportunidad, remitido a menores,
sentenciado, remitido a paz, conciliación, sobreseído, apelación especial, clausurado, recurrido, sentencia y suspendido

For my purposes I just need to know how to render "Recepción básica"
I think the other one is clear enough.

I assumed that reception meant intake of offenders or similar. However, if it just means receipt of the file, then either of OGV's suggestions would work.
Example sentence:

Responsible for the initial intake of offenders into Community Corrections...

Seems to be just the receipt or reception of the file so just that could be enough

Basic acknowledgement

When a judge receives a case, he or she 'acknowledges' it. Even if the term is not common to many jurisdictions, this should become self-explanatory for the reader.
